- A catastrophic failure occurs during a major lecture, high-profile event, or critical exam session; suddenly, the issue is urgent.
While it’s frustrating to let systems reach a breaking point, these failures can serve as powerful proof points when making case for the replacements. When faculty complaints start rolling in, and when deans or department heads experience the failure firsthand, the urgency becomes clear.
How to Use Failures as a Funding Catalyst
When an aging system finally fails in a way that gets attention, AV teams should capitalize on the moment to push for upgrades:
- Document the Impact – Gather details on how failures disrupt learning or productivity. If a high-stakes event is affected, highlight it.
- Demonstrate the Pattern – Show previous support tickets, workarounds, and repair costs to illustrate that this wasn’t an isolated incident.
- Present a Clear Solution – Rather than simply reporting the problem, outline a replacement plan with costs and timelines. Make it easy for decision-makers to say yes.
- Leverage Faculty and Administrative Frustration – If faculty or leadership are directly impacted, enlist their support in advocating for funding. A professor who had their lecture interrupted is a powerful voice.
While it’s never ideal to let things fail, sometimes strategically allowing a low-priority system to break down can serve as the wake-up call needed to secure funding for larger-scale improvements.

Most higher education institutions don’t have the luxury of replacing all AV systems on a fixed schedule. Instead, we must prioritize upgrades strategically and make the most of available funding.

- Tier 1 – High-Priority Spaces: Large lecture halls, auditoriums, and active learning spaces where failure has a significant impact. These spaces should have shorter refresh cycles (e.g., every 5–7 years).
- Tier 2 – Standard Classrooms: General-purpose rooms that are in regular use but have alternatives available. These can have medium refresh cycles (e.g., every 7–10 years).
- Tier 3 – Low-Impact Spaces: Conference rooms, study areas, and secondary learning spaces. These may function with extended refresh cycles (e.g., 10+ years, with phased updates).
This approach maximizes limited budgets, ensuring that critical spaces receive updates first while squeezing additional years from lower-priority systems.
2. Leverage Partial Upgrades
Sometimes, a full system overhaul isn’t necessary. Instead, consider:
- Swapping out projectors for flat-panel displays in smaller rooms, reducing maintenance costs.
